1. About this policy

MHive (“we”, “us”) runs the MHive platform: the MHive websites and apps, and the services behind them. This policy explains what personal data we hold, why we hold it, and who can see it.

MHive is Manhive Technology Ltd, a company registered in the Abu Dhabi Global Market (ADGM). Our address is 2201.C28-D125, Office 2201, Floor 22, Sky Tower, Shams Abu Dhabi, Al Reem Island, Abu Dhabi, United Arab Emirates. You can write to us at [email protected].

If your company has a signed agreement with MHive, the data terms in that agreement also apply. Between MHive and that company, the agreement wins where it differs from this policy. It does not reduce what this policy tells applicants.

2. The data we hold

  • Account. Name, email, phone number, password, company, team and role.
  • Applicant profile. Name, sex, date of birth, nationality, country and city of residence, marital status, phone number, email, languages, occupation, work history, education, certifications, the countries you are willing to work in, photo, passport number, and documents such as CVs, diplomas, licences and certificates.
  • Paperwork documents. Documents that you or your agency send us by email for the paperwork step of a job. These can include identity and travel documents.
  • Company. Legal name, tax number, contact email, phone number, address and logo.
  • Activity. Job posts, applications and how far each has got, profile views, sign-ins, and a record of actions taken on the platform.
  • Technical. IP address, browser type and error reports.

3. Where it comes from

  • From you, when you fill in your account or profile.
  • From your agency, when it creates or manages your profile.
  • From your company, when it adds you to a team.
  • From employers, when they move your application forward.
  • From MHive staff, when they set up an account or load profiles that an agency has sent us.
  • From you or your agency by email, when documents are needed for the paperwork step of a job.

4. How we use it

  • To create and run your account.
  • To match applicants to jobs, and to show profiles to the employers and agencies involved.
  • To send service messages, such as a link to set your password, by email or SMS.
  • To keep the platform safe and to fix errors.
  • To meet our legal duties.

We use your data for one or more of these reasons: we need it to give you the service you asked for, yourself or through your agency; you agreed to it, yourself or through your agency; we, and the employers and agencies on the platform, need it to match people to jobs and to keep the platform safe; or the law requires it.

You do not have to give us your data. But without your profile details the platform cannot match you to jobs.

We do not sell personal data to advertisers or companies that trade in data, and we do not use it for advertising. Employers and agencies may pay MHive to use the platform. They see only the profiles described in section 6.

5. Automatic matching

The platform matches applicant profiles to job posts automatically. A match looks at your occupation and the countries you are willing to work in. If the employer has set an age range or a sex for the job, it also looks at your date of birth and sex.

Each match gets a score. Employers see higher scores first. The score looks at how complete your profile is and at your work experience in that kind of job. If the employer has set an age range, it also looks at your age.

A match only suggests applicants. The platform does not hire or reject anyone. Employers decide who to hire. Your agency can still put you forward for a job the match did not pick. If you think a match or a score is wrong, write to us and a person will look at it.

6. Who can see it

If you are an applicant, your profile can be seen by:

  • You.
  • The agency that manages your profile, if you have one.
  • Employers whose job post your profile matches, or whose job your agency puts you forward for. Matching is automatic: you do not have to apply first. These employers see your profile, including your name, photo, date of birth, sex, nationality, phone number, work history, education and certificates. Your profile does not show them your passport number or your sign-in email.
  • An employer who has selected you for a job can also open the documents on your profile. Do not upload a document that shows something you do not want that employer to see.
  • Some companies use the platform to hire for their own clients. Those clients may see what that company can see.

Your personal data can also be seen by:

  • MHive staff who run and support the platform.
  • Service providers that work for us, such as hosting, email, SMS, error monitoring and tools that read CVs. We allow them to use the data only to provide that service.
  • Tools that an employer or agency chooses to connect to its own account, such as an AI assistant. That employer or agency is responsible for those tools.
  • The employer, and the offices that handle visas and work permits, if documents need to be passed on for the paperwork step of a job. These documents can show your passport number.
  • Authorities, courts and advisers, when the law requires it, or when we need to in order to protect someone’s safety, stop fraud or abuse, or defend our legal rights.
  • A new owner, if MHive is sold or merged.

7. Agencies and employers

If an agency manages your profile, it decides what goes into it and which jobs to put you forward for. It is responsible for that, for having your permission, and for keeping your details correct.

An employer that sees your profile is responsible for what it does with it. Employers and agencies may use the profiles they see for hiring only.

MHive is responsible for how the platform stores, matches and shows your data. Each of us answers for our own part.

8. Other countries

MHive is registered in the Abu Dhabi Global Market (ADGM) and supports hiring across borders. Your data leaves the ADGM. Employers and agencies in other countries may see it, and we and our service providers may store or handle it in other countries. We send it abroad because cross-border hiring cannot work without it, and because our service providers are in other countries. The laws there may protect your data less than the law of the ADGM or of your own country. We take reasonable steps to keep it protected wherever it is.

9. How long we keep it

We keep personal data until the account or profile is deleted. After that we keep some records, such as the log of actions and emails sent to us, for as long as we need them for legal, security or record-keeping reasons.

You can ask us to delete your data. We will do it unless we need to keep it for one of those reasons. If your profile is part of a job application, that application may need to be closed first.

10. Security

Passwords are stored in a scrambled form that cannot be read back. Data is encrypted when it travels between your device and the platform. Access to data on the platform is limited by role. Email is less secure than the platform, so send documents by email only when we ask for them.

No system is perfectly secure, so we cannot promise absolute security. If a security problem puts your data at risk, we will tell you and the authorities when the law requires it.

11. Your rights

You have the right to:

  • see your data and get a copy of it;
  • have it corrected;
  • have it deleted;
  • ask us to limit how we use it;
  • object to how we use it;
  • get your data in a form you can pass to another service;
  • take back a permission you gave. This does not undo what was done before;
  • ask for a person to look at a decision the platform made with no person involved.

These rights come from the data protection law that applies to MHive, the ADGM Data Protection Regulations 2021. They have limits set by that law. The law where you live may give you other rights too.

To use any of these rights, write to us at [email protected]. You do not need an account. We may ask you to prove who you are before we act. If an agency manages your profile, you can also ask the agency. You may also complain to the ADGM Commissioner of Data Protection, or to the data protection authority in your country, if there is one.

12. Cookies

We use cookies and browser storage only to keep you signed in, to remember your display choices, and to make the platform work. We do not use advertising or tracking cookies.

13. Children

The platform is for adults. Agencies must not add anyone under 18. If we learn that a profile belongs to someone under 18, we will remove it.

14. Changes to this policy

We may update this policy. We will post the new version here with a new date.
